Onboarding | Providing the Agent Access [Step Four]

Objective:

To efficiently transition agents from onboarding to their personalized welcome space by compiling necessary links, confirming account details, and setting up their dashboard with proper resources and access.


Step 1: Gather Required Information

  1. URLs to Collect:

    • Concierge Page URL:
      • Navigate to Forms in SuiteDash.
      • Locate the Agent Concierge Form.
      • Click Options, select Link and Embed, and copy the URL.
      • If a personalized alias is not already created, create one and copy the alias URL.
    • Form URL:
      • Ensure you have the link for the agent’s specific form (e.g., kickoff form).
  2. Confirm Website Domain:

    • Check if the agent has a subdomain or a direct link.
    • Examples:
      • sampleco.brokerbee.com
      • brokerbee.com/sampleco
  3. Package Confirmation:

    • Go to the CRM in SuiteDash.
    • Navigate to Companies.
    • Select the relevant company and verify the package or service purchased to ensure proper setup.

Step 2: Update Agent’s Progress and Move to Welcome Space

  1. Agent Process Form:

    • Access the Agent Process section and locate Agent Access.
    • Use the instruction guide provided in the form to complete the steps.

    • Upon submission, the system will:
      • Notify the agent that they have been moved from onboarding.
      • Prompt them to log in and access their dashboard.

Step 3: Verify and Customize the Agent’s Dashboard

  1. Impersonate the Agent:

    • Access the agent’s view of the dashboard to ensure proper setup.
  2. Dashboard Features to Verify:

    • Concierge Page: Ensure the link redirects correctly.
    • Order Form: Confirm access via the concierge page or direct link.
    • Broker B Vault: Ensure progress if applicable.
    • Messaging Feature: Verify the messaging functionality for direct communication.
    • Left-Side Navigation: Check access to the following:
      • Messaging
      • Invoicing
      • Estimates
      • Proposals
      • Documents
      • Payments
      • Forms and Files

Step 4: Add Team Members (if applicable)

  1. Use the designated Team Member Setup Form to:

    • Complete the agent’s full setup process.
    • Add additional team members to the system.
  2. For agents requiring websites:

    • Repeat the website creation and URL setup process as outlined in the Agent’s Landing Page SOP.

Step 5: Final Review and Next Steps

  1. Final Checks:

    • Verify all links are functional.
    • Ensure the dashboard reflects the agent’s plan and resources.
  2. Next Steps:

    • Prepare the agent for their next steps by providing them with:
      • A welcome email summarizing their dashboard access and key links.
      • Any additional instructions or resources needed.
  3. Mark Task as Complete:

    • Update the task as complete in your CRM or project management tool.
    • Notify the agent that their welcome experience is ready and provide support as needed.

Quality Assurance Checklist

Before marking the process complete, confirm:

  • All URLs are accurate and functional.
  • The agent’s dashboard includes all required features and resources.
  • Team members are added (if applicable).
  • The agent has received clear instructions for accessing and using their dashboard.
