Onboarding | Creating the Agent Concierge Form [Step Three]

Objective:

This SOP guides team members through the process of creating and configuring an Agent Concierge Kickoff Form using an existing template. It ensures accuracy and consistency while maintaining automation features.


Steps:

  1. Accessing the Forms Module
    • Open the Forms module in your system.
    • Use a split-screen view to see the task instructions alongside the forms interface for easier navigation.

  1. Duplicating the Template Form
    • Locate the template form already created.
    • Click on Options next to the template.
    • Select Duplicate to create a copy of the template.
    • Rename the form:
      • Use the agent’s name or company name (e.g., "Sample and Co").
      • Append a descriptive title such as "Agent Concierge Form."
      • Alternatively, use a naming convention appropriate for future reference.

  1. Editing the Duplicated Form
    • Access the duplicated form:
      • Either click Options > Edit or click the form title directly.
    • Update the following fields:
      • Company Name Field:
        • Update the first field to reflect the company name.
        • Use the dropdown menu to select the correct company. (Note: When more companies are added, ensure the correct selection is made.)
        • Hide this field to prevent it from being visible to the end user.
    • Reason for Hiding the Field:
      • The form is linked to the company, ensuring completed forms automatically associate contacts with their respective company.

  1. Customizing Additional Fields
    • Review other fields in the form.
    • No adjustments are necessary unless specified.
    • Verify dropdown Field 7:
      • Ensure it lists the correct types of services provided.
      • Confirm that selecting an item updates the role to "Client."
      • Check that selecting an item triggers the creation of a project generator, initiating task creation and assignment.

  1. Saving the Form
    • Click Save to apply changes.
    • Ensure all updates and configurations are reflected correctly.

  1. Verifying Automations
    • Check the automations linked to the form:
      • Confirm that an email is sent to the target notifying them that the Agent Concierge Form has been created.
      • Note: The form will not be immediately accessible to the recipient. It will be added to their platform after completion of all necessary configurations.

  1. Completing the Task
    • Return to the task associated with this process.
    • Mark the task as Complete once the form has been created, updated, and verified.

  • Ensure proper attention to detail when selecting the company name and verifying the dropdown options.
  • Do not distribute the form until all configurations are finalized and it has been added to the recipient’s platform.
